How Quiet AI collects, uses, and protects personal data, and the rights you have over it.

Who we are

Quiet AI™ is operated by Diaz Industries Incorporated, a company in British Columbia, Canada. For individuals and organizations in Mexico, the data controller (responsable) is Grupo DA DV S.A. de C.V. You can reach us about privacy at apply@quietaistandard.org.

What we collect

We collect the information you submit when you apply for or undergo a review: your organization's legal name, domain, jurisdiction, size and revenue band, descriptions of your AI systems and governance, and the contact details of the person applying (name, role, work email, and optional phone). For higher review tiers, you may choose to provide supporting documents. We also keep limited technical records, such as server logs, to operate and secure the service.

We do not use advertising or analytics cookies, and the site does not track you across other sites.

Why we use it

We use your information to assess your application, conduct and deliver the review, issue your AI Trust File™ and public verification record, communicate with you, invoice and process payment, keep accurate records, and meet our legal obligations. Where the General Data Protection Regulation applies, our legal bases are performance of a contract, our legitimate interest in operating a standards service, your consent where required, and compliance with legal obligations.

How long we keep it

We keep application and review records for as long as we need them to provide the service and to preserve the integrity of issued results, and for as long as the law requires. A public verification record is designed to be permanent and time-stamped. Internal evidence and submitted documents that are not cleared for release are kept only as long as needed for the review and our records, and are then deleted.

Your rights

Depending on where you are, you may have the right to access, correct, delete, or port your data, and to object to or restrict certain uses. In Mexico, you have ARCO rights (access, rectification, cancellation, and opposition) and the right to limit the use or disclosure of your data. In California, you may request to know, delete, or correct your data. We do not sell or share personal data. To exercise any right, contact apply@quietaistandard.org.

Sharing and service providers

We share personal data only with the service providers we rely on to operate, such as hosting, payment, email, and records, and only as needed to deliver the service. They act on our instructions and are bound to protect the data. We do not sell personal data, and we do not share it for advertising.

International transfers

Because we operate from Canada and Mexico and use reputable providers, your data may be processed in Canada, Mexico, the United States, and the European Union. Where required, we put appropriate safeguards in place for cross-border transfers.

We protect personal data with technical and organizational measures described in our Security Statement.

Changes

If we update this policy, we will post the new version here with a new effective date.
